This notice covers visitors to protect-securityservices.com and people who contact us through the website. Additional privacy information may be provided if you become a client, apply to work with us, or are involved in operational security services such as CCTV, vetting or incident management.

Information we collect

When you use an enquiry form, we may collect:

• your name;
• your telephone number;
• your email address, where requested;
• the service you are interested in;
• your town, postcode or location;
• the information you include in your message; and
• the page from which you sent the enquiry.

We may also collect information you give us later by telephone, email or other correspondence.

For website security and abuse prevention, the form uses a visitor’s IP address to create a one-way rate-limiting key. The form code does not save the raw IP address with the enquiry, and the rate-limiting key expires after approximately 10 minutes. Our hosting, content-delivery and security providers may also process technical information such as IP address, browser type, requested pages, timestamps and security events in their server logs.

Please do not put health information, criminal-record information or other sensitive personal information in the free-text message box unless we have specifically asked you to provide it through an appropriate secure process.

Why we use your information

We use personal information to:

• respond to questions and requests;
• understand your security requirements and arrange a consultation, assessment or quotation;
• take steps towards providing services where you ask us to do so;
• keep a record of our communications;
• operate, troubleshoot and protect the website; and
• comply with legal obligations and establish, exercise or defend legal claims where necessary.

Our lawful bases are:

• Contract: where you ask us to take steps before entering into a contract with you.
• Legitimate interests: where we respond to genuine business enquiries, communicate with representatives of prospective clients, keep appropriate business records, and operate and secure the website. We consider these uses necessary and proportionate and take account of your rights and expectations.
• Legal obligation: where the law requires us to use or retain information.

We do not use website enquiry details for direct marketing unless we have a separate lawful basis and comply with the rules that apply to electronic marketing.

How enquiries are handled

A valid website enquiry is stored as a private record in WordPress and emailed to the Protect Security Services enquiry address. Access to the private WordPress record is restricted to authorised administrators. The email may contain the information entered in the form, the page it came from and an internal enquiry reference.

Who we share information with

We share information only where necessary with:

• our managed WordPress hosting, backup, content-delivery and website-security providers, including 123 Reg/GoDaddy and Cloudflare;
• our email provider, Zoho Mail, and the services used to deliver website email;
• authorised website and IT support providers who need access to maintain or secure the service;
• professional advisers, insurers and auditors where relevant; and
• regulators, law-enforcement bodies, courts or other authorities where disclosure is required or permitted by law.

The website currently loads typefaces from Google Fonts. When this happens, Google may receive technical request information such as your IP address, browser details and the page requesting the font.

We do not sell personal information.

International transfers

Some technology providers operate internationally, so information may be accessed or processed outside the UK. Where a restricted transfer takes place, we use or require an appropriate UK transfer mechanism, such as UK adequacy regulations or approved contractual safeguards. Contact us if you would like more information about the safeguards relevant to your information.

How long we keep information

We keep information only for as long as it is needed for the purposes described above. We decide the appropriate period by considering whether an enquiry is active, whether it leads to a client relationship, our legal and accounting duties, possible complaints or legal claims, and the need to maintain secure and reliable systems.

Enquiry records are reviewed manually and are deleted or anonymised when they are no longer needed. If an enquiry leads to a contract, relevant records may be kept for longer as part of the client file. Technical logs and backups are retained in line with the necessary security and recovery schedules of our service providers. The form’s IP-derived rate-limit key expires after approximately 10 minutes.

Cookies and similar technologies

The current website does not use advertising or visitor-analytics cookies. WordPress and our hosting and security providers may use cookies or similar technologies that are strictly necessary to provide, protect or administer the website. Cloudflare may set the __cf_bm cookie for bot detection and security; it expires after approximately 30 minutes of inactivity. WordPress also uses login and preference cookies for authorised administrators.

If we introduce analytics, advertising or other non-essential technologies, we will update this notice and ask for consent where required before those technologies are used.

Your data-protection rights

Depending on the circumstances, you may have the right to:

• ask for a copy of your personal information;
• ask us to correct inaccurate or incomplete information;
• ask us to delete your information;
• ask us to restrict how we use your information;
• receive information you provided in a portable format; and
• withdraw consent at any time where we rely on consent.

Your right to object: where we rely on legitimate interests, you may object to our use of your personal information. We will stop unless we have compelling legitimate grounds to continue or need the information for legal claims.

Automated decisions

We do not use website enquiry information to make solely automated decisions that have legal or similarly significant effects on you.
